
On-premise email is having a quiet comeback in India. The DPDP Act, RBI's data-localisation expectations, CERT-In's logging directions, and a broader push for digital sovereignty have many CIOs asking a question that sounded old-fashioned five years ago: should our mail server live in our own datacenter?

1. Is it a complete platform, or just an MTA?
A bare mail-transfer agent is not an email solution. Your users expect webmail, mobile apps (Android/iOS), desktop client support over IMAP/POP/SMTP, shared calendars and contacts, and admin tooling. Some organisations assemble this from open-source parts — Postfix, Dovecot, a webmail, an admin panel — and it can work, but you become the integrator, and every upgrade is your project. A complete platform ships all of it, tested together, with one vendor accountable.
2. What does the security stack include out of the box?
At minimum, look for: SPF, DKIM and DMARC enforcement; anti-spam and anti-phishing; S/MIME encryption and digital signing; TLS in transit and encryption at rest; MFA and role-based admin access; DLP policies; and tamper-evident audit logs. For regulated sectors, the audit-trail and retention story matters as much as the filtering — an auditor will ask you to show it. 3. Does it speak your users' languages — literally?
This one is uniquely important in India and uniquely rare: true IDN/EAI support means email addresses in Hindi, Gujarati, Bengali, Tamil and other scripts — not just translated menus. If your organisation serves citizens or customers in Indian languages, an address like राजेश@डाक.भारत is a genuine inclusion feature no global suite offers natively. 4. How does licensing scale — and what's the real TCO?
Compare three numbers, not one: licence cost per user per year, the hardware/VM footprint the vendor actually recommends at your user count, and what "support" costs beyond year one. Legacy commercial servers can carry heavy per-user licensing plus separate client-access licences; DIY open source is free to license but expensive in engineer-hours. Ask every vendor for a 3-year TCO at your headcount — and make them include migration.
5. What's the migration path from where you are today?
Most Indian organisations moving on-premise are coming from somewhere: Microsoft Exchange (with Microsoft's roadmap pushing hard toward its cloud), Zimbra (whose open-source edition no longer ships official binaries, leaving self-hosters on community rebuilds), Google Workspace, or an ageing DIY stack. Ask for a concrete migration plan: mailbox data, calendars, aliases, distribution lists, and a coexistence window where old and new run side by side. A vendor who has done this migration before will show you the runbook, not a slide.
6. Can the vendor support you in India, under Indian jurisdiction?
When mail stops, you need an engineer on the phone in your timezone — not a ticket queue in another continent. And for sovereignty-driven deployments, the vendor itself matters: an Indian company, operating under Indian law, means your support contract, your data-processing terms and your escalation path all live in one jurisdiction. This is a primary reason government organisations and PSUs choose Indian platforms.
7. Will it scale — and has it, anywhere real?
Ask for the largest production deployment the vendor will put a name (or at least a number) to. Architecture slides are easy; a platform that already runs very large mailbox counts in production is evidence. 8. What happens when your needs change?
