Google Workspace vs Zoho Mail vs XgenPlus for a 10-person startup: the three-year cost

Founders compare email services on the per-user price and then discover the real cost in year two, when the team has doubled and the price has moved. This post costs one startup, ten people in year one, twenty in year two, thirty-five in year three, on the three services Indian startups actually choose between, at published Indian list prices before GST. Add 18 percent GST to all of them. Google's ₹99 Base plan would come to ₹77,220 over the same three years, but it is a self-service plan that resellers do not support and it is not the plan a growing team ends up on.

What the money buys

Google Workspace Starter buys Gmail, which everyone already knows, plus Drive, Meet, Docs and the Gemini features that are increasingly the point of the price. If your startup lives in Google Docs and Meet all day, the ₹2.1 lakh is buying a collaboration suite, not email, and that can be the right decision. The email part is 30 GB per user and it is excellent. The catch is the renewal: the price has risen more than once and the discount that got you in is gone by year two.

Zoho Mail Lite buys clean, ad-free email with IMAP and ActiveSync, 5 GB per user, Indian data residency, and the door into Zoho's suite if you later want CRM and Books from the same vendor. It is the sensible middle. Support is chat and email; the account manager arrives with the bigger bundles.

XgenPlus buys email from an Indian company with IMAP, SMTP and ActiveSync on every plan, mailboxes in Indian data centres, department addresses at no extra cost, plans mixed on one domain so the intern is on ₹21 and the CTO on ₹85, chat, video meetings and an online office suite included, a rupee invoice with GST, and a named Startup Desk contact who does the setup and the migration. It also has two things the others do not: an email address in an Indian script beside the English one, and an on-premise edition for the day a customer contract demands it. What it does not have is Google's collaboration suite; if you need Docs and Meet, you will run them beside it, as many customers do with Google's free personal tools or Xgen Office.

Which one

  • Team lives in Google Docs and Meet, and email is a line item: Google Workspace, and budget for the renewals.
  • Want the Zoho suite later, happy with chat support: Zoho Mail Lite.
  • Want the lowest three-year cost with IMAP and phones on day one, Indian hosting, a person to call, and an on-premise path: XgenPlus, and the difference over three years pays a developer's month.
